Privacy Policy

Kin Ceremony ("we", "us") provides software that helps funeral homes and families coordinate memorial services. This policy explains what information we collect, how we use it, and the choices you have. It applies to kinceremony.com and the Kin Ceremony application.

Information we collect

Account information. When a funeral home creates a workspace we collect names, work email addresses, phone numbers, the funeral home's name and locations, and billing details processed by our payment provider.

Family and memorial information. Families invited by a funeral home may share biographical details about a loved one, survivor names, photographs, music selections, scriptures, service details, and messages. This information is provided to the funeral home responsible for the service; Kin Ceremony processes it on that funeral home's behalf.

Usage information. We collect standard technical logs (browser type, device, pages visited, timestamps) and an audit trail of approvals and edits so funeral homes can see who changed what.

How we use information

We use information to operate the service, including to:

  • Deliver family intake portals, program drafts, reminders, and approvals.
  • Generate obituary and program drafts with AI, using only the details a family or funeral home has entered.
  • Send transactional emails such as intake invitations, reminders, and receipts.
  • Provide support, prevent abuse, and meet legal obligations.

We do not sell personal information, and we do not use family memorial content to advertise.

Who can see family information

Every funeral home's data is isolated from every other funeral home. A family's intake link is private to that family and the funeral home serving them. Family members can only see their own case. Kin Ceremony staff access customer data only to provide support you request or to investigate security issues.

Service providers

We rely on trusted providers for hosting and databases, encrypted file storage, transactional email, payment processing, and AI text generation. Each provider is bound by contract to protect your information and to use it only to provide services to us.

Retention and deletion

Funeral homes control how long case records are kept and may delete a case at any time, which removes the family's intake, uploads, messages, and drafts. When a workspace is closed we delete or anonymise its data within 90 days, except where retention is required by law or for billing records.

Your choices and rights

You may request access to, correction of, or deletion of your personal information by contacting us. Families should direct requests to the funeral home that invited them; we will assist that funeral home in responding. Depending on where you live you may have additional rights under local privacy law.

Security

We use encryption in transit and at rest, private file storage with expiring links, role-based access, and audit logging. See our Security page for a plain-language overview.

Children

Kin Ceremony is intended for adults. Information about minors may appear in memorial content (for example, a list of grandchildren) and is provided by the family for that purpose only.

Changes and contact

We will post any changes to this policy on this page and update the date above. Questions can be sent through our Contact page.
